Event Data Management and Reporting

To achieve this, we offer a suite of services which allow you to concentrate on formulating your event and delivering its message, while we look after your delegates' needs and make sure they'll be there to hear that message.
Data Merging, Cleaning and Scoring
Perhaps you know who you want to invite to your event. You have an Excel sheet of sales contacts that the marketing department uses, you've also got a database system that manages your CRM. And there's a whole set of people that the exec team think should be invited.
Fire them all our way. We've grown up digesting our clients' data and turning it into single, meaningful and usable lists. We'll merge, de-duplicate, re-capitalise, clean and polish your data so that it's in great shape to start sending out your invitations.
If you're not sure you want to invite everyone on your list we can also score your data based on the criteria you give us. For example you may want to give higher scores to people with certain job titles from a particular area, or who work for large accounts. Scoring allows you to invite just the people who are most suited to your event.
Keeping data accurate
People change - they move address, change jobs titles, go lactose-free, and more besides. If you don't stay on top of the changes your target audience is undergoing you won't be able to respond to what they need.
Whether delegates register online, by phone, fax or post Dataflow Events can manage those changes for you.
For example, online or fax forms can be pre-populated with data we know already about a delegate to make registration quick for the user, but allow us to capture any changes as and when they happen. We can also keep an eye on data as it gets entered for typing inaccuracies and inconsistenices.
Keeping data manageable
It's no fun checking an old list of delegates against a new one to see if anything has changed. That's why our database keeps a log of the changes that are made, 'timestamps' them, and allows you to just concentrate on those changes.
Reporting
It sounds boring, but we believe good reports are just plain crucial to making a successful event. So much so that we put our money where our mouth is and developed an online real time reporting facility called 'ReportEngine' that's simply second to none. We now incorporate it into every event we work on.
Reporting features:
- Real-time. No more worrying about who's got the latest version of the data and cross-checking versions against each other.
- Customised to your event. We start with a common set of reports that apply to most events, then customise them to your event. So you get all the nice stuff the 'off the shelf' systems give you, but with the huge benefit that you can actually have the reports customised to match the way you work.
- Interactive. Re-sort, filter, export to Excel or PDF. Do what you will!
- Intuitive. 'Drill down' on data. Click on a total to see the list of delegates who contribute to it.
- User permissions. Reports can be restricted so that some users only see a subset of them. For instance, you may want your caterer to see any special dietary requirements, but don't want them to roam around the rest of your data.
